I coordinate production at a commercial print shop, and I've spent the last seven years getting rush orders out the door—some with 48-hour windows, some with less. The expensive failures haven't always been the EFI flatbed printer itself. More often, a small task got skipped because it didn't look urgent, and then it became urgent at the worst possible time.
This checklist is for that moment. It's for a shop running an EFI flatbed printer, with a Brother printer somewhere in the office for labels, proofs, or packing slips. It won't replace the service manual, but it gives you a step-by-step order to follow when a deadline is real.
1. Run a real printer test image before you load the EFI flatbed printer
A nozzle check pattern is useful, but it is not the same as a printer test image. A nozzle check tells you that the printhead is firing. A printer test image tells you what the output will actually look like on the material you plan to run.
Your test image should contain:
- solid CMYK blocks and, if you use white ink, a white coverage patch
- a smooth grayscale ramp from 0 to 100 percent
- small text in positive and reverse out for line sharpness
- thin vertical and horizontal lines, ideally across the full print width
Print it at the same resolution and pass count you plan to use for the production run. It takes a few minutes and one sheet of media. If it saves one 20-sheet reprint, it's already worth it.
I don't have hard data on how many shops skip this step on a rush order. I can say from our own experience that most first-run banding problems we've chased would have shown up in the first 30 seconds of a test image.
2. Do an EFI injector cleaning in the right order
If the test image shows missing jets or light bands, don't jump to the heaviest cleaning cycle. On most EFI flatbed printers, the printer menu has several cleaning options—light, normal, deep, or full. The one operators often call EFI injector cleaning is a normal nozzle purge, not a full system rinse.
Start with the standard cleaning cycle. Then rerun the test image. If one line is still missing, wait five minutes and run standard cleaning again. Deep cleaning is valuable, but it should not be your first move. It uses more ink and puts more pressure through the printhead than a standard cycle.
Use only EFI-approved cleaning fluid. Never believe a supplier who says their generic head cleaning fluid is exactly the same because it is not formulated for EFI's printhead or ink system. The few dollars saved on fluid can cost you a printhead replacement, which is the kind of total-cost math nobody wants to do mid-job.
If you get no improvement after three cleaning cycles, stop printing and contact service. At that point the issue is likely mechanical or electrical, not a simple clog.
3. Check media height and vacuum while the EFI flatbed printer is cleaning
This step is the one that catches people. The test image looks streaked, so you assume it's head cleanliness. But on a flatbed printer, uneven output can be caused by a sheet lifting off the vacuum bed or by incorrect media height.
While the EFI flatbed printer is running a cleaning cycle, check that the media is completely down and that all active vacuum zones are on. Also verify the z-height on the control panel. If it is too high for the media, you'll see fuzzy edges and scattered dots. If it is too low, the printhead can strike the panel, which turns a simple job into a costly service event.
Confirm that the loaded substrate profile matches the media name too. A profile that is close enough is not close enough when the job has a hard deadline.
4. Replace the Brother drum before it becomes a shipping-line print emergency
The Brother laser printer in the office doesn't seem like a production machine—until the moment you need a packing slip under a client courier pickup. Dirt and wear on a Brother drum unit show up as vertical lines, periodic marks, or background toner. A new toner cartridge won't fix these if the drum is already worn.
On most Brother MFC and HL models, the drum sits behind the toner cartridge and is designed to be user-replaced. To replace a drum on a Brother printer:
- Open the front cover and remove the toner cartridge.
- Release the drum unit using the colored tabs or lock levers on each side.
- Remove the drum slowly and keep it away from direct light when opening the new drum.
- Insert the new drum in the same orientation, snap the locks, then replace the toner cartridge.
- Close the cover. If the printer asks to reset the drum counter, choose yes after making sure the new drum is installed.
The exact order and lever placement vary by model. If your manual says something different, use that. The important thing is not to wait until Friday afternoon to open the box.
5. How to connect a Brother printer to Wi-Fi—and keep it connected
Your EFI flatbed printer is probably wired to the network. Brother office printers often use Wi-Fi. If a router was replaced, a password was changed, or the Brother printer was moved, no computer can find it. This always surfaces when something needs to leave the shop in the next 20 minutes.
To connect a Brother printer to Wi-Fi, use the control panel menu. On models with a touchscreen, go to Settings > All Settings > Network > WLAN > Setup Wizard and enter your network name and password. On models with buttons, press and hold the Wi-Fi button until the WLAN light flashes, then press the WPS button on your router within two minutes.
Brother's support site at support.brother.com has model-specific Wi-Fi setup guides. If you're setting this up during normal hours, do it then. Don't learn how on a deadline.
One extra step most shops skip: set a static or reserved IP address for the Brother printer in the router. If the printer uses DHCP and the IP changes after a power cut, every print driver in the shop shows offline. A DHCP reservation is a two-minute router setting that removes an entire class of emergency.
6. Total cost thinking changes what you call maintenance
A Brother drum unit costs less than a service visit, and a bottle of EFI-approved cleaning fluid is a small line item. But the real cost isn't the part. It's the missed courier, the extra shift, the scrapped media, and the time spent troubleshooting in front of a waiting client.
If a worn drum sits until it damages output, it turns into a wasted job plus overtime. If a head clog is caught by a test image, it's one cleaning cycle. If missed, it's a full section of rejected prints and the lost trust of the customer who was promised a delivery.
At our shop, we now attach this checklist to every job ticket with a hard deadline. It's not extra time; it's insurance. When you compare total cost of ownership, the cheapest production run is the one that started with a printer test image and a printhead that was already clean.
The phrase it has never failed usually fails right before a deadline. The best operators don't cross their fingers. They run a printer test image, keep a spare Brother drum in stock, connect the Brother printer to Wi-Fi before the network changes, and treat EFI injector cleaning like the production work it is.
