Where this checklist stops being enough
I keep a mistake log on our production floor. I started it after I signed off on a printer location without checking the service door clearance. The machine fit. The maintenance door didn’t. That mistake cost us about $800 to move an electrical disconnect before the printer produced a single sheet.
That was in 2022. By January 2025, my log has 23 entries—nine of them from skipping a step I already knew. This article is the checklist I now hand our team whenever we install a large-format inkjet system. I’m writing it around the EFI Pro 16h+ hybrid LED printer because that was the system we added in Q3 2024, and it’s fresh enough that I still remember the details.
Before you keep reading, let me tell you what this article is not. It is not a guide to choosing an asset label printer. It is not about an AMS for a 3D printer, and it doesn’t answer “is 3D printer filament food safe?” Those questions have different criteria. This checklist has one job: helping you prepare for an EFI Pro 16h+ hybrid LED printer installation without repeating my errors.

This is not a “which printer should I buy” article. Use it after you’ve selected the system and before you approve the installation. It assumes production work is waiting and the sales conversation is over. The eight checks below focus on the things I underestimated: site prep, workflow, operator training, and acceptance testing.

Step 1: Walk the site with access doors open, not brochure dimensions
The PDF dimension drawing is not the machine. It doesn’t show open service panels, media loading paths, or where an operator stands when running a hybrid machine. For the EFI Pro 16h+ and similar hybrid LED printers, you need room for roll media handling plus rigid board movement around the flatbed. I now tape the outline on the floor using the current install guide, including the service access area. Then I physically walk through a normal workflow: bring in a roll, open the access panel, load media, and move a rigid board onto the table. If the path is awkward on paper, it will be worse on a live production day.
Step 2: Verify electrical and network requirements from the current manual
I’m not going to type electrical values here, because the values can change depending on configuration and market. What works for a neighbor’s machine may not work for the one you ordered. Send your electrician the current installation manual, not the generic PDF from last year’s sales folder. Confirm the disconnect location, phase, voltage, breaker sizing, and data cable route before you spend money on conduit. If the electrician says “we’ll make it work” without seeing the manual, that is your warning sign.
Step 3: Make a media list for the first 90 days, not a fantasy list
A hybrid printer can handle flexible roll media and rigid sheets. That doesn’t mean every material will look right on day one. I used to think a new printer would automatically print every substrate we wanted to sell. It doesn’t. Select the three media types you will actually run first, and ask your EFI dealer or media supplier whether there is an existing profile you can use. If there isn’t, get profiling scheduled before your first deadline, not after you’ve told a client the job will ship Friday. Color problems after a new install are usually not an engine failure. They’re often a profile gap.
Step 4: Match your front end and color workflow before delivery
Modern inkjet is part of a chain: printer, front end, media profiles, job files, and the operator who connects them. If you are new to EFI printing hardware, leave extra time for this step. Before the machine arrives, confirm that the front end version you’re ordering can drive this model, that your media profiles are loaded in the right place, and that your production files are named with enough consistency for an operator to find the correct profile. I’ve watched a shop blame a printer for a color shift that was actually caused by two operators using different ICC settings. That is a workflow problem, not a head problem.
Step 5: Name one operator before installation day
An unnamed operator is not an operator. If the plan is “we’ll train everyone later,” later becomes firefighting. Choose one person before the machine arrives. Make that person part of the installation day from start to finish. When the technician finishes, ask that operator to load media, set the appropriate print mode, and run a test job without help. If they can’t, training isn’t complete. It may feel expensive to schedule another visit, but it is much cheaper than a week of self-taught mistakes.
Step 6: Run your real production file during the demo
This is the one step I would not skip. Ask the dealer to run your actual file during the demo, not just the pretty file they brought with them. Choose a real job with small text, dense black, and a client color that matters. When we installed our EFI Pro 16h+ in Q3 2024, the demo output looked great. Then the representative ran our file, and it looked only okay. Comparing the two side by side, I finally understood why demo files are not an acceptance test. The demo file had been tuned to that machine. Our real file had not. The issue wasn’t the printer; it was the profile and process. But if we had accepted the machine based on the demo, we would have accepted a process that wasn’t ready for production.
Step 7: Define alarm levels and service response before sign-off
Not every machine alarm means the same thing. Some messages say “finish the current job, then call service.” Others mean “stop immediately and do not continue.” If you wait until after the technician leaves, your first shift will interpret alarms one way and your second shift another. Before sign-off, ask the service technician to walk through the five most likely alerts and label each one clearly. Write those labels on an index card and put it near the control panel. Also ask which consumables and spare parts the technician recommends keeping on hand for the first few hundred hours of operation.
Step 8: Write a one-page daily startup and close-down check
The operator manual is complete, but it is not always practical. When the machine is new, I create a one-page daily check for our specific shop. It includes room temperature and humidity checks, media condition, ink and printhead status, and a short test print if the previous shift ended with an alert. It also lists what to do when a job is interrupted. This is not about replacing the manufacturer’s procedures. It’s about making sure a busy operator at 6 a.m. doesn’t have to remember yesterday’s decisions. If it isn’t written down, it will eventually be done differently.
Where this checklist stops being enough
My experience is built from roughly 30 wide-format and industrial graphics installations. If your project is high-volume packaging, food-contact packaging, or pharmaceutical labeling, this list is only a starting point because those applications have deeper compliance checks. And if a printer supplier tells you one machine can replace every dedicated setup in your shop, including asset label printing and 3D printing, I would be skeptical. Every process has its own physics, chemistry, and failure modes.
Honestly, a hybrid machine makes sense only when you regularly switch between roll media and rigid panels. If most of your work is roll-only, a roll-to-roll printer might be simpler to run and maintain. If most of your work is rigid boards, a flatbed-only printer might be the better match. The EFI Pro 16h+ is built for shops that need both enough to justify the complexity. If that doesn’t sound like your floor, don’t buy the flexibility just because it sounds impressive.
If you are new to EFI printing systems, budget extra days after the physical installation before your first customer deadline. The hardware will probably be ready before your process is ready. That isn’t a failure of the machine. That’s how digital production behaves when workflow, media, profiles, and people haven’t caught up yet.
